Key Responsibilities

Monitoring and Documentation:

  • Historical monitoring of the University's systems, regulations, plans, programs, projects, and administrative and procedural structures, in coordination with relevant administrative units.
  • Inventorying all inactive University documents and records, including files, systems, regulations, and circulars. The center then classifies these documents, determining their circulation methods, coding, indexing, abstracting, preserving, maintaining, and converting them to modern digital storage media.​

Organization:

  • Propose technical regulations, rules, and procedures for organizing archiving activities at the University, in accordance with the Documents and Archives Law and its executive regulations, and follow up on their implementation after approval.​
  • Issue, update, and monitor the application of the Work Procedures Manual for Documents and Archives Activities at the University, in accordance with the Documents and Archives Law and its executive regulations.

Implementation:

  • Participate in and provide administrative and technical coordination for the tasks of the Permanent Documents Committee, Evaluation Committees, Destruction Committees, Transfer Committees at the University, and other committees related to documents and archives activities.​

Collaboration:

  • Coordinate and collaborate with the National Center for Documents and Archives in all matters related to the implementation of the Documents and Archives Law and its executive regulations, particularly those related to the transfer and destruction of documents and archives.
  • Coordinate and collaborate with other similar centers to benefit from their expertise.​

Planning:

  • Propose appropriate systems and devices for the preservation of the University's documents and archives, utilizing modern digital storage media, and ensure their operation and maintenance in coordination with relevant departments.
  • Raise awareness on the importance of documents and archives activities within and outside the University through publications, guidance manuals, professional workshops, and diplomas, in coordination with relevant entities. ​

Report Preparation:

  • Prepare periodic reports on the center's activities, achievements, and development proposals, and submit them to the University Vice-Rector.​
